At the same time, it is necessary to confirm with the shipowner whether there are any special requirements for the bill of lading number and voyage number, the sample format of the bill of lading (Jin Kang 94 or the format specified by the shipowner), the name of the carrier, and who is responsible for signing the bill of lading (the captain signs the bill of lading or the captain's authorized agent signs the bill of lading). Prepare the description of the bill of lading and send it to all freight forwarders (including Chinese and English ship name, voyage, bill of lading number and carrier name).

Contact the freight forwarder to find out the cargo situation (name, quantity, bulk cargo or bagged cargo, cargo readiness and stacking position), prepare a cargo readiness form and send it to the shipowner (including the information of consignor, consignee, notifier, cargo quantity, cargo name, destination port and cargo packaging), and count the detailed information of each freight forwarder (including the name of the freight forwarder, person in charge, telephone number, fax number and contact information of the person in charge on site). Whether the shipowner has any special requirements for the shipment of goods (whether it is necessary to split tickets, whether they can be mixed, and who will bear the cost of splitting tickets), he shall report to the shipowner the port dynamics, the weather conditions in the last three days and the preparation of goods every day. Transmit electronic data to the customs in time after receiving the customs declaration form. All the goods have passed the customs inspection. After the goods are ready, prepare the pre-loading list and fax it to the operating company in time. Prepare a paper manifest (the specific quantity of finished products is empty, and it shall be filled in according to the actual quantity of goods loaded upon completion). After accurate counting, update the estimated arrival time of the ship by the Port Authority in time, and contact the berthing plan. After the Port Authority arranges the specific berthing plan, notify the shipowner and the freight forwarders in time, and inform the freight forwarders in specific berths to make good preparations for loading.

To contact the captain, the information that the captain needs to provide includes ship information, crew list, stowage map and manifest of the last port, pre-loading (fax it to the operation company and freight forwarder in time after pre-loading), crane status and load of the ship, and arrival of the ship. After the ship leaves the port, contact the freight forwarder to make the bill of lading, and send it to the shipowner for confirmation after receiving the sample of the bill of lading.
